How to plan early-bird tournament pricing
Timed pricing should make the deadline predictable for competitors and the expected total easy for staff to explain. Start with a written fee schedule before entering values into the tournament editor.

Separate entry fees from division fees
Write down the base entry charge and any charge for each selected division. For an illustrative example, a $40 entry and two $10 division charges total $60. Those numbers are examples, not SenseiStackCRM subscription prices or a live tournament offer.
Use the same terminology on the public page, confirmation, and staff checklist. If a discount applies, document whether it changes entry, divisions, or both, and test the behavior supported by your configuration.
Make every transition unambiguous
Choose one event time zone and show each tier’s opening and closing timestamp in that zone. If regular registration replaces early bird at a particular moment, test that exact moment rather than only testing noon on the following day.
Check the relationship between the last tier and registration close. A public closing date should not promise access after the system stops accepting entries. Record the expected result for each boundary before previewing prices.
Build a compact test matrix
Include a single-division early entry, a multi-division regular entry, the first moment of a late tier, and an attempt after registration closes. Add an interrupted payment and a pending manual payment to separate pricing checks from receipt checks.
Keep a record of the expected and observed totals. A mismatch is a reason to correct the configuration before opening registration, not a reason to tell staff to remember an exception indefinitely.
Communicate the deadline in plain language
Place the current fee, upcoming deadline, division charges, and payment instructions where a competitor can find them before submitting. Avoid urgency claims that continue after the advertised deadline.
SenseiStackCRM supports timed tournament tiers and price preview workflows. Previewing a price is one check; also complete the public registration path with your actual divisions and payment configuration before launch.
Put it into practice
- Document the entry and division formula.
- Label the event time zone.
- Test just before, at, and after each transition.
- Check registration close independently.
- Compare public totals with organizer records.
