A martial arts tournament registration checklist
Opening registration is a release decision. A form that accepts a name is not enough: competitors need clear eligibility, accurate pricing, a complete venue description, and an understandable confirmation process.

Complete the event information first
Confirm the event title, date, venue, full address, and organizer contact process. Explain arrival expectations separately from the event start time. Use a map link and calendar links so families can carry the information onto their phones.
Write the description for someone who has never attended your event. State what entry covers, how divisions are selected, and where participants should direct questions. Publish cancellation and refund terms only after the organizer has approved them.
Review divisions and waivers
Walk through a beginner, an advanced competitor, and someone entering more than one division. Check the eligibility instructions and any division fees. Give staff a way to identify a registration needing review before producing ring assignments.
Confirm that the intended tournament waiver is active and appears in registration. Have the organizer review the document and signature flow. This checklist verifies the workflow; it does not establish the legal adequacy of a waiver.
Test the price boundaries
Create a table showing each tier’s name, entry fee, start, and end in the event time zone. Check the price immediately before and at every boundary, including registration close. Avoid unexplained gaps or overlaps.
Run a multi-division example and compare the final total with your written fee policy. For an event in the Houston area, label America/Chicago explicitly in administrative timing checks and verify how the public date and time are displayed.
Test payment and confirmation separately
Square credentials must be configured and tested in the intended environment. For manual Zelle or Cash App payments, check recipient instructions and define who verifies receipt. Keep pending payments distinct from verified registrations.
Complete the flow on a phone and tablet, inspect the organizer’s record, and confirm that staff can find the competitor by name. After a failed or interrupted attempt, verify the actual registration state before asking someone to retry. SenseiStackCRM provides tournament configuration, timed tiers, and division tools; confirm plan availability.
