What to test in a martial arts student and family portal
A family portal succeeds when it answers ordinary questions without a call to the front desk. Test it from the perspective of a parent with several children and a student checking the next class on a phone.

Begin with access and student identity
Confirm which person should receive an invitation and which student records they should be able to see. Test separate guardian and staff sessions, and verify that changing the active student does not mix attendance or progress information.
Use fictional accounts before inviting real families. An administrator preview is useful for layout review, but it is not a substitute for testing the actual login and authorization flow.
Answer the most common front-desk questions
Check whether a family can find the next class, required forms, learning resources, and the correct communication path. Use plain labels and explain what action is needed when a waiver or payment-related item is pending.
Review the screen with a narrow phone viewport. Long student names, several siblings, and detailed resource titles are better test cases than short placeholder text.
Explain installation accurately
SenseiStackCRM is an installable web app on supported browsers. On iPhone and iPad, families can use the browser’s Add to Home Screen option. Installation is a convenience for access; it does not turn all account features into offline tools.
Test a slow connection and a return visit after signing out. Families should understand when connectivity or another login is required instead of seeing outdated account data as though it were current.
Introduce the portal with one useful task
Ask a small pilot group to sign in and complete one clear task, such as opening a resource or reviewing a schedule. Note where they hesitate and fix confusing copy before sending a wider invitation.
Keep staff support instructions short and give someone ownership of access questions. The goal is a dependable family workflow, not simply a large count of invitations sent.
Put it into practice
- Verify each guardian’s student access.
- Test real login, not only admin preview.
- Review phone layouts with long content.
- Explain home-screen installation and connectivity.
- Pilot one useful task before broad rollout.
