BJJ academy management: attendance, ranks, and programs

BJJ schools need a clear record of who trains, which programs they attend, and what instructors have observed. Good administration supports coaching decisions without reducing promotion to an automatic attendance counter.

Keep one student record across programs

A student may attend fundamentals, advanced classes, gi, and no-gi sessions. Decide how your schedule distinguishes these classes while preserving one consistent student history. Avoid creating duplicates merely because someone changes their training schedule.

Test how staff find a student, correct a mistaken check-in, and review attendance. A system that looks complete in aggregate can still cause rework if a front-desk correction is difficult to trace.

Keep promotion authority with instructors

Document your academy’s rank structure and review process. Attendance and time at rank can inform a conversation, but they do not replace an instructor’s assessment or your organization’s requirements.

SenseiStackCRM includes curriculum and rank progress workflows. During evaluation, test the belt or stripe detail your academy uses and confirm that the information needed for instructor review is represented correctly. Do not assume all grading systems work identically.

Handle visitors and families deliberately

Write down how you record a visitor, an ongoing member, and a child linked to a guardian. Confirm the appropriate waiver, communication contact, and class eligibility before relying on a single generic signup process.

For families, verify that attendance and progress remain attached to each student. Guardian access should expose the intended family information, while staff permissions should match actual responsibilities.

Review engagement without making assumptions

Use attendance changes as a prompt for a respectful check-in. A student may be injured, traveling, changing work hours, or intentionally training less. Record what they choose to share and the agreed next step.

Review the process weekly with the staff member responsible for follow-up. Evaluate whether your software makes the context and ownership clear before adding more automated messages.

Put it into practice

  • Test a student attending gi and no-gi classes.
  • Review your rank and stripe requirements.
  • Test visitor and guardian workflows.
  • Assign attendance follow-up ownership.
  • Confirm the plan and permissions needed.
